Nerd Force Fan Fest is built on community, creativity, and having a great time together. To ensure a safe, respectful, and enjoyable experience for everyone, the following guidelines apply to all attendees, vendors, guests, and staff.

By purchasing a ticket or vendor table and attending the event, you acknowledge that you have read, understand, and agree to follow all policies outlined below, as well as any directions given by event staff and security.

🎭 Cosplay Guidelines

We love cosplay and encourage all attendees to bring their creativity to life. Whether it’s your first costume or a full custom build, cosplay is a huge part of the Nerd Force Fan Fest experience.

General Expectations

  • Costumes must be respectful and appropriate for a family-friendly environment

  • No excessively violent, graphic, or explicit content

  • No costumes or behavior that may be considered offensive, discriminatory, or disruptive

​

Props & Weapons Policy

Safety is our top priority.

​

The following are strictly prohibited:

  • Real firearms or weapons of any kind

  • Functional weapons or items capable of causing harm

  • Metal blades, sharp objects, or heavy blunt items

​

Props that appear realistic will be closely evaluated, including:

  • Replica firearms (including airsoft or BB guns)

  • Realistic prop weapons

  • Props with moving or mechanical components

​

Inspection Process

  • All props must be presented at entry for inspection

  • Security may visually inspect, physically check, and/or use handheld metal detection wands

  • Approved props may be tagged or peace-bonded

  • Any item deemed unsafe or too realistic will not be permitted

​

If a prop is not approved, you will be asked to return it to your vehicle or remove it from the premises.

🛍️ Vendor Guidelines

Vendors are a key part of Nerd Force Fan Fest, and we are proud to support creators, artists, and businesses.

Vendor Expectations

  • All items sold must be legal, appropriate, and in line with a family-friendly environment

  • Vendors must operate only within their assigned space

  • Booth areas must remain clean, safe, and not obstruct aisles or walkways

​

Prohibited Sales & Items

The following are strictly prohibited:

  • Illegal items of any kind

  • Explicit or sexual content

  • Open or unpackaged food items not approved by the venue

  • Any item deemed unsafe, offensive, or inappropriate by event staff

​

Compliance

  • Vendors must follow all venue rules and local regulations

  • Event staff reserves the right to inspect vendor spaces at any time

  • Any vendor not complying with these rules may be required to remove items immediately or shut down their booth

Purchasing a vendor table confirms that you have read these guidelines and agree to abide by all rules.

🔒 Security

Security will be present throughout the event to ensure a safe experience for all attendees, vendors, and staff.

In addition, the Vineland Police Department will conduct roving patrols of the parking lot and surrounding venue areas.

What to Expect

  • Bag checks may be conducted at entry

  • Security staff will be stationed throughout both floors

  • All prop weapons must be inspected and peace-bonded at the door

  • Real weapons of any kind are strictly prohibited

​

Reporting Concerns

If you see something that does not seem right, notify event staff or security immediately.

In the event of an emergency:

  • Call 911 immediately

  • Report the situation to security, police, or a Nerd Force Fan Fest staff member

​

We aim to make Nerd Force Fan Fest accessible, inclusive, and welcoming for everyone.

Venue Accessibility

  • The Vineland Convention Center is ADA compliant

  • Accessible parking is available on site

  • Elevator access is available between floors

  • Accessible restrooms are located on both floors

📋 Rules of Conduct

Nerd Force Fan Fest is a community-driven, family-friendly event. We expect all attendees, vendors, and participants to treat each other with respect.

Expected Behavior

  • Be respectful to all attendees, vendors, guests, and staff

  • Follow all venue rules and staff instructions

  • Keep aisles and walkways clear

  • Supervise children at all times

​

Prohibited Behavior

The following will not be tolerated:

  • Harassment, intimidation, or discrimination of any kind

  • Physical or verbal abuse

  • Disruptive or unsafe behavior

  • Selling or distributing prohibited items

  • Damage to property

  • Theft of goods or services

Enforcement

Anyone violating these rules may:

  • Be removed from the event at any time

  • Be removed without refund of ticket purchases and/or vendor fees

  • Have items confiscated or be required to shut down operations

  • Be reported to local authorities if necessary

​

Theft of goods and/or services will be prosecuted.

​

  • You understand that failure to follow these guidelines may result in removal from the event without refund
