Important Event Details for Nerd Force Vendors and Special Guests

 

Dear Nerd Force Vendors and Special Guests,

 

First off, thank you for joining our event and being part of the show! Your participation is what makes this event so amazing and fun. Below are the key details to ensure a smooth and successful experience for everyone.

Event Times

 

Load-In Starts: 7:00 AM

Set up until: 9:40 AM

​

Showtime: 10:00 AM - 4:00 PM

Breakdown: 4:00 PM - 6:00 PM

 

**Important**

All vendors and guests must be out of the Student Center by 6:00 PM. If you need extra time for breakdown, please plan accordingly. No exceptions.

Arrival and Load-In

 

Nerd Force team members will be on-site at 6:40 AM at the Chamberlain Student Center. Rowan University staff will open the venue doors at 7:00 AM.

 

There are five temporary parking spots directly in front of the Student Center. These are for unloading only. After unloading, please park your vehicle in adjacent lots H, H1, or the Townhouse parking garage. Entrance is at the Welcome Gate off of Rt. 322 (Mullica Hill Rd.) (see attached maps). 

 

Once the doors open at 7:00 AM, you may temporarily place your items in the foyer or first floor before moving them to your designated table.

The main event floor is on the second floor. A large staircase with a mid-platform and an elevator are available for moving your goods upstairs. Please refer to the attached photos for guidance.

 

Important Note: Nerd Force team members will not be able to assist with moving or carrying vendor goods. Please ensure you bring any necessary equipment, such as hand carts or dollies, to help with your setup and breakdown.

 

Pro Tip:

 

Bring a helper to assist with transporting and setting up your items. Each vendor is allowed up to 3 helpers.

Table Assignments

 

Attached, you will find a layout with table assignments. Your vendor name and table number are listed for easy reference. Each vendor will have a 6' x 24" table assigned to each of their table space(s), and chairs will also be available for your use. Provided tables MUST be used in your setup. We are unable to remove the tables the venue has provided. 

 

If you need assistance locating your table or have any questions, please ask a Nerd Force team member. A member can be found at the ticket table. We are unable to make changes to the vendor layout on the day of the show. 

 

All goods and fixtures should be fully set up, and your area cleaned up by 9:50 AM. The doors open promptly at 10:00 AM.

 

** Important Venue Rule **

Do not attach anything to the walls at all. Nothing is allowed—no tape, tacks, hooks, or adhesives of any kind. Please plan your booth setup accordingly.

Breakdown

 

Please attempt to keep your goods in place and available for sale until the show starts to come to an end.

We understand that setup and breakdown can feel hectic, but we truly appreciate your patience and cooperation.
